Books written by the work you already do

Every sale at the till, and every invoice, delivery, payment and stock adjustment, is posted to the accounts in double entry the moment it is recorded. Your accountant reviews and closes the period instead of typing it all in again.

What posts on its own

  1. A sale at the tillRevenue, VAT and the cost of goods sold, and stock going down
  2. A purchase order received and postedStock going up, and what you owe the supplier
  3. A payment from a customer or to a supplierCash or bank, and the customer’s or supplier’s balance
  • Entries that post themselves

Sales invoices, till sales, returns and customer receipts; purchase invoices, goods receipts and supplier payments; stock adjustments and transfers; the cost of goods sold; and cash over or short when a shift closes.

  • Chart of accounts and journals

A ready chart of accounts you can change as you like, manual journal entries you post or reverse, and the general ledger for every account.

  • Expenses

Record an expense by its type (rent, electricity, wages) and where it was paid from, cash or bank, and it posts to its account.

  • Bank reconciliation

Upload your bank statement as a CSV file, match its lines to your books with matches Kulnabooks suggests, and finish the reconciliation.

  • Periods and year-end

Close a fiscal period so nothing more posts into it, and reopen it when you must. Closing the year posts a single entry to retained earnings.

  • VAT and the financial statements

VAT at the business’s rate or a rate per product, with a report of output VAT, input VAT and the net. The income statement, balance sheet, cash flow and trial balance, filtered by branch and period, and exported.

Kulnabooks has no fixed-asset register or depreciation yet, no budgets and no petty cash. Sales invoices are in the business’s currency; only purchases take a foreign currency at an exchange rate.

How the books get written

From adding a product to the financial statements, and what each step changes in stock and in the accounts.

  1. Add your products

Names in Arabic and English, categories, units, barcodes and photos, or import the list you already have from a CSV file.

Every branch and every till sells from the same list.

  2. Buy and receive stock

Raise a purchase order to your supplier, then record what actually arrived (all of it or part of it) into the warehouse that received it.

Stock goes up with each receipt, and posting the order records what you owe the supplier.

  3. Sell at the till

The cashier scans, takes payment, and prints the receipt.

Stock goes down, and revenue, VAT and the cost of the goods sold are posted.

  4. The reports and the books follow

Nobody re-types anything: the same figures feed the owner’s dashboard, the sales and stock reports, and the income statement and balance sheet.

Your accountant reviews and closes the period. Nothing is typed twice.
